Abstract

In today’s digitally driven academic landscape, the effective use of Electronic Records Management Systems (ERMS) has become pivotal to enhancing organisational performance, particularly in administrative operations. This study examines the impact of ERMS on job performance among administrative staff at Capricorn TVET College in South Africa. Job performance—understood as the efficiency and effectiveness with which employees fulfil their responsibilities in alignment with institutional goals—is a key factor in organisational success. While ERMS are increasingly adopted in educational settings, their specific influence on employee performance remains underexplored, especially within South Africa’s Technical and Vocational Education and Training (TVET) sector. Employing a quantitative research design, the study targeted all 180 permanent and fixed-term administrative employees at the college using a census sampling method. Data were gathered via structured questionnaires and analysed using SPSS for reliability testing, correlation, and regression analysis. Findings indicate a statistically significant positive relationship between ERMS usage and job performance. In particular, ERMS were found to improve administrative accuracy, record retrieval efficiency, decision-making speed, and task completion rates. The results underscore the role of ERMS in streamlining workflows and fostering a more efficient and accountable administrative workforce. The study concludes that the strategic deployment of ERMS can significantly enhance job performance in educational institutions and recommends ongoing training and the integration of ERMS-related metrics into employee performance evaluations.
